Privacy Policy

Miletus Systems LLC, a Wyoming limited liability company ("Miletus," "we," "us," or "our"), operates the Miletus accounts receivable automation platform. This Privacy Policy explains how we collect, use, store, and disclose information when you use our Service.

1. Information We Collect

Information you provide directly

  • Account registration information, such as name, business name, email address, and billing address
  • Payment information submitted to Stripe; Miletus does not store full card or bank account numbers
  • Support communications and other messages you send to us

Information from accounting integrations

When you connect QuickBooks Online or Xero, we access and import data needed to provide the Service:

  • Invoice records, including invoice numbers, amounts, due dates, balances, and payment status
  • Customer contact information, including names, email addresses, phone numbers, and business names
  • Payment terms, credit notes, and transaction history relevant to accounts receivable workflows

We do not intentionally access payroll, employee, or bank account data from your accounting platforms unless that data is included in records you authorize us to sync.

Bank payments through Stripe

If an invoice recipient chooses to pay by ACH debit, Stripe Financial Connections asks for permission to link their bank account. With that permission, we access a tokenized payment method, current balance, and account ownership details to evaluate the payment. We keep limited authorization records, including Stripe references, the bank name, account type, last four digits, permissions, consent, and payment status. Stripe handles bank sign-in and full account and routing numbers. We do not request bank transaction history.

Information collected automatically

  • Usage data, such as features accessed, actions taken, timestamps, and product analytics events
  • Log data, such as IP address, browser type, device information, and diagnostic events
  • Communication delivery and engagement data, such as email delivery status, bounces, opens, SMS delivery status, call status, and inbound reply metadata

2. How We Use Information

We use collected information to:

  • Provide, operate, secure, and improve the Service
  • Import accounting data and keep accounts receivable workflows current
  • Send automated collection communications to your customers on your behalf
  • Process subscription billing and, where configured, client invoice payments through Stripe
  • Verify bank-account authorization, ownership, and available balance before initiating ACH payments
  • Detect and prevent fraud, abuse, security incidents, and deliverability problems
  • Respond to support requests and communicate with you about the Service
  • Comply with legal obligations and enforce our agreements

We do not sell personal information. We do not use your customers' contact information for Miletus marketing campaigns.

3. How We Share Information

Service providers

We share information with service providers who process it on our behalf to deliver the Service:

Stripe processes linked-bank data for payment and verification under its own terms. Our infrastructure providers host the limited bank-authorization records we retain on our behalf. We do not sell this data or share it for advertising or marketing.

Accounting platform APIs

We transmit data to and from QuickBooks Online and Xero as needed to operate your integrations. Those platforms process data according to their own terms and privacy policies.

Legal and safety disclosures

We may disclose information if required by law, court order, subpoena, or government authority, or if we believe disclosure is necessary to protect the rights, property, safety, or security of Miletus, our users, your customers, or the public.

Business transfers

If Miletus is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy or a policy with comparable protections.

4. Data Retention

We retain account and business data while your account is active. After account termination, we generally retain business data for up to 90 days to support export, restoration, billing disputes, fraud prevention, and legal compliance, unless a longer period is required by law or a shorter period is technically feasible. Communication logs and delivery records may be retained for up to 12 months for audit, deliverability, security, and dispute-resolution purposes.

You may request deletion of your data by contacting us. We may retain limited records where necessary to comply with legal obligations, enforce agreements, resolve disputes, or protect the Service.

Disconnecting a linked bank account stops new data access through that connection. It does not automatically erase payment or consent records already retained by Miletus, or records Stripe retains under its own policy.

5. Security

We use technical and organizational measures designed to protect information, including TLS encryption in transit, access controls, credential protection, audit logging, and encryption for sensitive stored fields where appropriate. No method of transmission or storage is completely secure, and you are responsible for maintaining the security of your account credentials and connected provider accounts.

6. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of information
  • Object to or restrict certain processing
  • Request a portable copy of certain information

7. Your Customers' Data

When you use the Service, we process personal information about your customers, including invoice recipients and payment contacts, on your behalf. You are responsible for having a lawful basis to share that information with Miletus and for complying with privacy, communication, and collection laws that apply to your business.

8. International Transfers

Miletus is based in the United States, and information may be processed in the United States and other countries where we or our service providers operate. Those countries may have data protection laws different from those in your jurisdiction. Where required, we use appropriate safeguards for international transfers.

For Stripe Financial Connections bank payments, any linked-bank data we retain is stored in the United States, including its backups. We do not enable live bank payments until those storage systems meet this requirement.

9. Cookies and Browser Storage

We may use cookies, local storage, and similar technologies to keep you signed in, remember preferences, secure the Service, measure usage, and operate analytics. Where required, analytics and non-essential tracking are controlled by a consent banner.

10. Age Eligibility

The Service is intended for business use by adults. We do not knowingly allow individuals under 18 to create accounts or submit personal information directly to Miletus.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy with a new effective date and, when changes are material, provide additional notice by email or in-app notice.
